Minimum order quantities for coffee packaging usually start at 500–1,000 bags for short-run digital printing and can rise to 10,000–30,000 bags per design for conventional gravure production. Stock bags may be available from 100–500 units, while custom films, unusual dimensions, valves, finishes, and several artworks can raise the production minimum. A 10,000-bag order at $0.25 each costs $2,500 before freight, while 2,000 bags at $0.45 cost $900. The lower unit price therefore does not always produce the lower inventory cost. Buyers should compare MOQ per artwork, bag size, material structure, setup charge, lead time, and expected monthly usage before ordering.

The first number to clarify with a supplier is whether MOQ applies to the full purchase order or to each SKU. A quotation showing “MOQ: 5,000 pcs” may refer to 5,000 pieces for every artwork, size, or material combination. Four coffee varieties at that minimum would require 20,000 bags, even when all four use the same dimensions.

That distinction matters because most packaging factories schedule production around equipment setup rather than a buyer’s total annual demand. Printing, lamination, curing, slitting, pouch making, valve installation, inspection, and carton packing each have minimum practical run lengths. A small order still requires many of the same preparation steps as a 50,000-piece order, so setup expense becomes much larger per finished bag at low volumes.

A supplier quoting 1,000 pieces per design and another quoting 5,000 pieces per order may be offering very different purchasing conditions, even when the headline MOQ looks similar.

Printing method usually explains a large part of the difference. Digital presses print artwork directly without manufacturing a separate gravure cylinder for each print color. A short run of 500, 1,000, or 2,500 bags can therefore be commercially workable, especially when a roaster changes origin names or tasting information several times during a 2026 product calendar.

Gravure printing follows a different cost structure. Cylinders have to be prepared before production, and the press becomes more economical over longer runs. A supplier may therefore request 10,000, 20,000, or 30,000 bags per artwork. If cylinder and setup charges total $600, spreading them across 2,000 bags adds $0.30 per bag; across 20,000 bags, the same $600 adds only $0.03.

That difference helps explain why a low-MOQ quotation can have a noticeably higher unit price. Consider three illustrative quotations for the same 250 g pouch:

The 10,000-piece option costs about 56% less per bag than the 1,000-piece option before allocating setup, but it requires more than four times as much cash. The next question is therefore how quickly those bags will actually be used.

A roaster filling 1,500 bags of one permanent blend per month would use 9,000 bags in six months. A 10,000-piece order provides roughly 6.7 months of stock before allowing for waste, samples, or sales growth. The same quantity is far less suitable for a seasonal lot selling 300 units per month because the inventory would cover more than 33 months.

Packaging specifications then change the manufacturing minimum again. Coffee pouches may combine an outer printable layer, a barrier layer, and an inner food-contact sealing layer. Metallized films, foil laminates, paper laminates, and mono-material polyethylene structures do not share the same production process, stock availability, or minimum material purchase.

A factory that regularly runs a common film may be able to allocate part of an existing production batch to a 3,000- or 5,000-bag order. A custom film thickness or uncommon laminate may require a complete material run before bag conversion begins. In that case, material procurement rather than printing can set the MOQ.

European packaging requirements are also affecting specification discussions. Regulation (EU) 2025/40 introduced new packaging and packaging-waste rules, and the European Commission states that the new rules apply from August 12, 2026. The framework includes recyclability requirements, with further requirements applying from 2030.

For a coffee business selling into that market, ordering several years of a packaging structure without checking future compliance can create unnecessary inventory exposure. A 30,000-piece production run that takes 36 months to consume deserves more review than a 5,000-piece run used within one quarter.

Bag dimensions create another production variable. A 250 g flat-bottom pouch and a 1 kg side-gusset bag need different film widths, cutting dimensions, sealing settings, cartons, and often different pouch-making schedules. Ordering 5,000 units of each size may therefore be treated as two separate 5,000-piece runs rather than one 10,000-piece order.

The number of artworks can multiply that quantity further. A roaster offering six origins in 250 g bags may need 30,000 bags when the supplier requires 5,000 per artwork. Using one printed brand design with a variable label for origin information can reduce the printed package requirement from six designs to one.

That approach is common when coffee information changes faster than the brand identity. Roast dates, farm names, processing methods, crop years, tasting notes, or certifications can be added later through labels or variable digital printing rather than being permanently printed into a large inventory of pouches.

One-way degassing valves need similar attention. Roasted coffee releases carbon dioxide after roasting, so many whole-bean packages use a valve that allows internal gas to escape while limiting outside air movement through the valve. Standard valves may have little effect on MOQ when they are already part of a converter’s normal 2026 production schedule.

Custom valve colors, unusual positions, or nonstandard valve components may require separate purchasing quantities. Asking for the supplier’s standard valve specification can therefore reduce both sourcing complexity and minimum production requirements without removing the function required by the package.

Zippers, tear notches, hang holes, laser scoring, soft-touch surfaces, windows, special varnishes, and unusual pouch shapes work in a similar way. A standard zipper already installed on regular production may add only a small unit charge, while a custom closure purchased specifically for one customer may carry its own supplier minimum of several thousand units.

Buyers comparing wholesale coffee packaging should therefore send every supplier the same specification sheet. A quotation for a 120-micron matte pouch cannot be fairly compared with one for a thinner structure, different barrier layer, different zipper, or different valve even when both suppliers quote 5,000 pieces.

A useful request-for-quotation package can contain:

  • Finished width, height, and gusset dimensions in millimeters or inches.

  • Required capacity, such as 250 g, 340 g/12 oz, 500 g, or 1 kg.

  • Material structure and total thickness where already specified.

  • Digital, flexographic, or gravure printing preference.

  • Number of artworks and print colors.

  • Valve type and valve position.

  • Zipper, tear notch, finish, and surface treatment.

  • Quantities at 1,000, 3,000, 5,000, 10,000, and 25,000 pieces where available.

  • Tooling, cylinder, plate, sampling, and prepress charges.

  • Production lead time and shipping terms.

Quoting several quantities makes the price curve visible. If 3,000 bags cost $0.44 each and 5,000 cost $0.38, increasing the order cuts unit price by about 13.6%. Moving from 5,000 at $0.38 to 10,000 at $0.30 reduces it by another 21.1%, but only matters when the additional 5,000 bags can be consumed before artwork or product information changes.

Freight can alter the comparison again. An overseas quotation of $0.24 per bag is not a $0.24 landed cost when cartons, transport, insurance, customs charges, duties where applicable, and local delivery are added. A $2,400 factory order with $900 in logistics produces a landed packaging cost of $0.33 per bag at 10,000 units.

Smaller repeat orders may also require less warehouse space. If a carton holds 500 pouches, 20,000 bags occupy 40 cartons before any coffee inventory is considered. A business using 2,000 bags per month would hold up to 10 months of packaging, tying cash to material that cannot easily be reused after a branding or regulatory change.

A practical order calculation can start with average monthly consumption rather than the supplier’s price break. A product using 2,400 bags per month, with three months of planned stock plus 10% safety stock, needs about 7,920 bags: 2,400 × 3 × 1.10. An 8,000- or 10,000-piece production discussion is more relevant than automatically accepting a 20,000-piece discount.

New brands with uncertain sales can work from the opposite direction. Stock pouches bought in 100–1,000-unit quantities can be combined with printed labels, allowing several coffees to share the same base bag. Digital printing becomes more practical after volumes stabilize, while conventional long-run printing can follow when individual SKUs repeatedly consume 10,000 or more bags within a manageable inventory period.

The lowest MOQ should not be compared alone. Compare the cash paid, number of months the stock will last, cost per usable bag, number of artworks covered, and whether setup charges return on the next order.

Supplier negotiations are more productive when one production variable can be changed. A factory unable to reduce a custom 10,000-piece run to 2,000 may still offer a lower quantity when the buyer accepts a stocked film, standard dimensions, standard valve, fewer artworks, or digital printing.

A second option is to ask whether several artworks can share one material and pouch size during the same production campaign. Some production systems allow artwork quantities to be split more easily than others, so five designs of 2,000 pieces each may be possible even when another process requires 10,000 pieces for every design.

Payment structure also deserves attention. A 10,000-bag order costing $3,000 with a 50% deposit requires $1,500 before production, while a 30,000-bag order at $0.22 requires $3,300 upfront under the same terms. The lower unit price therefore uses more than twice the initial cash before freight or import expenses are paid.

Sampling should be included before that payment is released. Dimensions, zipper opening, valve placement, seal integrity, print registration, color references, barcode readability, and filled-bag appearance can be checked before a long production run. Finding a 3 mm placement issue after 20,000 units have been manufactured is materially more expensive than finding it during pre-production approval.

Packaging regulation belongs in the same purchasing review. EU packaging rules set a 2030 recycling target of at least 70% by weight across packaging waste, including material-specific targets such as 55% for plastic and 85% for paper and cardboard. Those figures do not determine a coffee bag’s MOQ, but they can influence which structures buyers are willing to order in large quantities.

A purchasing team can therefore ask for three numbers before approving production: MOQ per SKU, landed cost per bag, and months of inventory at current sales. A 5,000-piece MOQ may be sensible for a coffee selling 2,500 units per month and excessive for one selling 250. Matching production quantity to actual consumption keeps the unit economics, storage requirement, artwork life, and cash commitment measurable rather than treating MOQ as a standalone supplier number.
